Executive Assistant to Director of Education | Artan Holding Doha, Qatar

Job Details:
In this pivotal role, the Executive Assistant is responsible for providing a comprehensive, confidential and professional service in the administrative and organisational management of the offices of the Executive Director (ED) and Director of Education (DoE), including for the Boards of Governors and management committees of Artan schools.
Duties and Responsibilities
· Reporting to the ED and working for the ED and DoE, the EA will handle a wide range of administrative and executive support-related tasks. They must be exceedingly well-organized and flexible, and must be able to function effectively within a dynamic environment under minimum supervision.
· Ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the ED and DoE’s offices.
· Undertake secretarial functions for all school Boards of Governors, including: meeting scheduling, organizing participation, voting and quora, record-keeping, the issuing of minutes, sub-committee management and document preparation.
· Attend weekly school management meetings alongside the DoE, and issue agendas and minutes.
· Manage the online calendar, meeting and event commitments ensuring sufficient time for operational requirements in the office.
· Arrange travel requirements as and when required in conjunction with PA to CEO.
· Arrange meetings including coordinating all logistics, materials etc, and take notes and issue formal minutes within 2 working days of meeting taking place.
· Provide general assistance during presentations, planning itineraries, developing agendas and meeting materials, etc
· Receiving and interacting with visitors at all levels and ascertaining nature of business
· Liaise effectively and efficiently with various senior employees, clients, suppliers and other staff
· Answering and managing incoming calls, relaying messages to the correct members of staff
· Open and distribute incoming mail and other material and respond on behalf of the ED and DoE where appropriate
· Competently and confidently delegating work in the ED and DoE’s absence
· Compile data, statistics and other information and conduct research as directed by the ED and DoE
· Ad hoc personal errands for the CEO
· Deputise for the PA to CEO in her absence
· Ability to work under pressure and to tight deadlines
· Exceptional organisation and time management skills
· Ability to undertake research and to digest, analyse and present material clearly and concisely
· Advanced level of MS Office suite, including Outlook, Work, Excel and PowerPoint.
· Excellent English communication skills – both written and verbal (IELTS Proficiency/C2)
· Arabic proficiency is a distinct advantage
· Strong attention to detail
· Negotiation skills
· Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadline..
