Role Summary:
This role provides administrative assistance to the Assistant Vice-President and his leadership team. In this role you will play an integral part in coordinating and ensuring the delivery of the team objectives. This role requires that you be extremely well organized, able to manage conflicting demands and demonstrates a high regard for confidentiality.
Main Accountabilities:
*.Arranges appointments and meetings and will manage the conflicting demands and changes to schedules;
*.Coordinates various business functions, sometimes at off-site locations and creates presentation materials for a variety of audiences;
*.Monitors E-mail and incoming mail by checking deadlines and handling as many as possible on the recipient's behalf;
*.Ensures the appropriate people are involved in decision making and problem solving of issues when the Assistant Vice-President is absent;
*.Assists in the preparation and distribution of reports and communications;
*.Assists in the formulation of correspondence and when required assists in resolution of escalated issues coming from a variety of audiences;
*.Coordinates travel arrangements and accompanying material;
*.Provides filing and the necessary record keeping;
*.Manages the administrative budget work and cost center (expense reimbursements, cheque requests and budget management);
*.Assists with tracking of actions and deliverables coming up of leadership meetings
*.Support team system access.
*.Previous or current experience supporting a senior executive level role in a fast-paced environment;
*.Excellent verbal communication skills;
*.Superior written communications skills;
*.Ability to work independently with minimal direction and frequent interruptions;
*.Strong interpersonal skills and the ability to deal comfortably with employees at all levels of the organization, as well as external clients, vendors and consultants;
*.Able to use diplomacy, tact, and discretion in dealing with sensitive matters;
*.Ability to handle and maintain confidential company information;
*.Ability to prioritize work from a variety of people and the judgment to obtain direction when there are competing priorities;
*.Resourceful at problem solving and continually improve job processes and procedures;
*.Work well under pressure by incorporating excellent time management skills in order to juggle many priorities and meet numerous deadlines;
*.Advanced PC knowledge including MS Office (Word, Excel, PowerPoint), and Lotus Notes;
*.Bilingual, French and English
