Job Details:
Purpose of the job:
The individual will be responsible for providing Executive and Administrative support to IARCS Partners
Key responsibilities:
·Screening of calls and determine according to best judgement how callers can best be assisted
·Diary management, co-ordinating internal and external meetings
·Dealing with and following up on enquiries in Partner / Managers absence
·Client liaison and follow ups
·Organise all travel arrangements both local and international
·Organising, planning and co-ordinating international and local conferences and group meetings
·Accurate typing, editing, creating and finalising of documents within KIS format
·Inputting timesheets and expenses for Partners
·Assisting with formatting, editing and typing of documents in Word and PowerPoint
·Monitoring that all time sheets are submitted on a weekly basis by other members of the team
·General organising and administrative support as required
Critical Technical skills and competencies:
·Must be proficient on Outlook, Excel, PowerPoint and word and must be comfortable typing documents and reports
·A min of 2-3 years working in a PA/Secretarial role servicing multiple people and teams
·Previous experience in assisting HR with admin/secretarial type functions
·Ability to prioritise work according to urgency and importance
·Must be able to multitask and cope with requests from a team perspective
·Must be able to work independently and take ownership of responsibilities
·Excellent telephone manners
·Professional and diplomatic
·Able to work under pressure and meet deadlines
·Ability to deal effectively with individuals at all levels, including members of client senior management and directors
·High level of confidentiality
·Excellent organisation and administration skills
·Able to use own initiative and work in a proactive manner
·Methodical and pays attention to detail
·Strong communication (verbal and written)
Qualifications and experience:
·Matriculation certificate (Grade 12)
·Secretarial Diploma or similar qualification will be preferred
·Highly skilled and proficient in MS Office (Word, Excel, PowerPoint, CRM, Oracle (PPS and HR Core) and Outlook)
·Min 3 years in a Secretarial/Personal Assistant role
·Previous experience in providing HR support will be highly advantageous...
