POSITION OVERVIEW
JLL is currently seeking a Marketing & Administrative Assistant to join its Brokerage Team in Toronto, ON. The chosen candidate will work with a diverse group of stakeholders at all levels of the organization, and will require the independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced environment. This role provides a wide variety of marketing and support services to the Brokerage Team and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.
RESPONSIBILITIES
Administrative Role:
*.Coordinate, prepare, edit, proof read all documentation including correspondence, presentations, surveys and reports.
*.Organize, update, and manage expense forms and/or reports, as required
*.Work closely with a team of brokers to ensure that all marketing and administrative needs are met
*.Coordinate and organize meetings and required materials for conference calls and video conferences
*.Respond to basic client and general inquiries and escalate complex queries to the appropriate parties
*.Provide support to an assigned team in the development of proposals, presentations, RFQ requirements, and any other additional sales aids as needed
*.Draft/modify/proofread engagement letters and assist in managing the proposal process ensuring client information is accurate
*.Filing, as required
*.Any other reasonable duties and responsibilities assigned
Marketing Responsibilities:
*.Align with the National Marketing Team for ongoing JLL brand and best practices training and for best in class marketing tools and resources to ensure that all marketing needs are met
*.Project manage multi-component marketing projects
*.Manage marketing collateral and communications
*.Leverage templates to create/draft/modify complex presentation slides in PowerPoint or other media formats
*.Utilize best in class marketing presentations and marketing collateral materials using the established branding guidelines
*.Organize information and maintain a database for marketing purposes using our national Customer Relationship Management (CRM) software (ReApps)
*.Manage the distribution of e-blasts, direct mail and couriers
*.Coordinate direct marketing and other advertising sources, such as: print and online
*.Engage with marketing vendors as required
*.Conduct research on a variety of individuals, companies, markets, and industries to support the business development initiatives of the Brokerage Team
*.Track and evaluate marketing efforts
QUALIFICATIONS
*.Post-secondary education
*.Minimum of 1-3 years of relevant work experience required, or equivalent combination of education and work experience
*.Experience in the real estate sector is a definite asset..
