The Psychiatry Department has an exciting opportunity for an Administrative Assistant. Incumbent coordinates resident and fellows Didactic schedules.Assists in preparing, compiling and updating annually the Departmental welcome packets for resident interviewees which includes the, training schedules, institutional and departmental policies and additional information as requested by the Manager, mandated or of current interest to the program or department.Assists with the agenda for approximately 100 interviewees for residency and coordinate interviews with faculty with similar interests, plan luncheons and breakfasts for each interview group. Additional recruitment projects as assigned by the manager.Assists with the scheduling of interview agendas and interview day logistics of the Psychiatry fellowship applicants.Helps maintain the Program Director’s calendar, types letters, and provides routine and general clerical support or medical-related support as necessary.Answers telephones, takes messages, answers routine questions, and transfers calls to appropriate individuals.Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs.Assists in scheduling the Program Director’s patient appointments, takes patients’ messages, and relays prescription information in a confidential and professional manner.Prepares financial forms (IDRs, BERFs, Revenue Reimbursement) for residents and faculty reimbursements, banquet receipts and orders office supplies.Schedules bi-annual director’s reviews for all residentsSchedules annual miniboards for all residents, Assists in organizing the annual graduation banquet, including preparing the ceremony brochure, collectingRSVP s, writing the award script, preparing graduation certificates, etc.Uses new innovations to enter resident and fellow rotation schedules, assign resident and faculty evaluations and track conference attendance.Participates weekly in both the Education Planning Committee and Residency Training Curriculum Committee meetings.Helps maintain up-to-date program information in ACGME WebAds.Schedules Milestone review committee meetings. Prepares meeting documents as needed.Staff the Psychiatry Grand Rounds seminars as needed (i.e. welcoming the speaker, tracking sign-in sheets, etc.)May provide ancillary support to physicians, clinical activities, and residents and fellows, etc.Perform other duties as assigned.
The minimum requirements are:High school diploma or equivalent.Three (3) to Five (5) years of progressive related experience.Knowledge of routine office practices and procedures.Knowledge of simple data processing and transmission principles.Ability to utilize computerized information systems.Ability to read and decipher data on source documents to be entered...
