Within the Clinical & Nursing department, the Clinical Recruitment Assistant will provide overall administrative support to the Clinical Recruitment Team. In particular, this role will focus on assisting the candidate, client, and relocation teams with: maintaining applicant tracking system, applicant interview setting and pre-hire process as directed, file maintenance, document collection, recruitment programs, job fairs, open houses and other special projects/duties as assigned. This position is also responsible for assisting in the planning of meetings and recruitment events, which include advertising, interviewing, coordinating starting dates and processing paper work associated with newly hired and transferred employees. Serves as point of contact for the department through communication with applicants, coordination, and actively participates in departmental organizational plan and provides assistance in setting agendas, meeting minutes, etc.
PRIMARY DUTIES AND RESPONSIBILITIES
Responsible for assisting the Clinical Recruitment Team with job advertisements, interviewing scheduling, and document collection to help to select the most qualified applicants from around the world.
Provides overall administrative support to Clinical Recruitment and maintains new employee file system
Helps maintain the CCAD applicant tracking system and provide notification letters to candidates throughout the hiring process.
Participates in CCAD recruitment efforts at job fairs, conventions, speaking engagements and related activities.
Maintains effective relationships with CCAD administrative personnel to coordinate departmental panel interview schedules
Researches and recommends new sources for active and passive candidate recruiting
Collects candidate documentation at the appropriate time for qualified candidates
Provides support to TAG on all other administrative related issues
Skills
EXPERIENCE REQUIREMENTS
Minimum of two (2) years administrative or secretarial experience in multinational environment is required
Knowledge of office procedures, protocols, organization and filing systems and a variety of PC and/or word processing systems
Demonstrated typing proficiency of at least 35 words-per-minute with accuracy Experience with PC Based computers and software required: including word processing and Microsoft Office suite, Access, Outlook, Word, and Excel Software.
Must have strong written and oral communication skills as well as exceptional interpersonal skills.
Strongly persuasive to candidates and internal customers.
Adaptable and flexible approach to achieving results.
Self-starter able to create solutions outside of normal working requirements.
Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action
Strong analytical and project management skills
Ability to speak and write in English is required
EDUCATION REQUIREMENTS
Associate’s degree or equivalent formal secretarial training is required
